Privacy Policy

Last Updated: March 15, 2025

At prevalionte, we take your privacy seriously. This document explains how we collect, use, store, and protect your personal information when you use our expense tracking services.

We're based in Australia and comply with the Privacy Act 1988, including the Australian Privacy Principles (APPs). But legal jargon aside — we want you to understand exactly what happens with your data in plain language.

1 Information We Collect

We collect different types of information depending on how you interact with our expense tracking platform. Some you provide directly, and some we gather automatically as you use our services.

Personal Information You Provide

  • Name, email address, and phone number when you create an account
  • Payment details including bank account information for transaction syncing
  • Business information if you're using prevalionte for commercial purposes
  • Transaction descriptions, categories, and notes you add to expenses
  • Support communications when you contact our help team

Automatically Collected Data

  • Device information (type, operating system, browser)
  • IP address and general location data
  • Usage patterns including features you access most frequently
  • Transaction metadata like timestamps and amounts
  • Cookies and similar tracking technologies for service improvement

Note about Financial Data: We partner with secure banking APIs to sync your transactions. We never see or store your actual banking passwords — authentication happens through encrypted third-party services that meet Australian financial standards.

2 How We Use Your Information

Your data serves specific purposes that help us deliver and improve our expense tracking services. We don't sell your personal information to third parties — that's a firm policy.

Primary Uses

  • Providing core expense tracking functionality and transaction categorization
  • Generating spending reports and financial insights personalized to your habits
  • Syncing data across your devices so you have access everywhere
  • Processing payments for premium features if you upgrade
  • Sending important service updates and account notifications

Service Improvement

We analyze aggregated usage patterns to make prevalionte better. For instance, if many users struggle with a particular feature, we'll redesign it. This analysis uses anonymized data that can't be traced back to individuals.

Communication

We'll email you about account security, service changes, and essential updates. You can opt out of promotional emails, but certain administrative messages are necessary for providing the service.

3 Data Storage and Security

Your financial information deserves robust protection. We use multiple layers of security to keep your data safe from unauthorized access.

Security Measure Description
Encryption AES-256 encryption for data at rest, TLS 1.3 for data in transit
Access Controls Role-based permissions with multi-factor authentication for staff
Server Location Australian data centers with ISO 27001 certification
Monitoring 24/7 security monitoring with automated threat detection
Backup Systems Daily encrypted backups stored in geographically separate locations

Despite these precautions, no system is completely invulnerable. If a breach occurs, we'll notify affected users within 72 hours and report to the Office of the Australian Information Commissioner as required by law.

4 Sharing Your Information

We share data only when necessary for service delivery or legally required. Here's the complete picture of who might access your information and why.

Service Providers

  • Cloud hosting providers maintaining our Australian servers
  • Banking API partners for transaction syncing (all PCI DSS compliant)
  • Payment processors for subscription billing
  • Email service providers for account communications
  • Analytics tools for aggregated usage insights

All third-party providers sign data processing agreements and meet our security standards. They can only use your data for the specific services they provide to us.

Legal Requirements

We may disclose information if required by Australian law, court orders, or government requests. This includes cooperation with law enforcement when legally obligated, though we scrutinize such requests carefully.

No Data Selling: We will never sell, rent, or trade your personal information to marketers or data brokers. Our business model relies on service fees, not monetizing user data.

5 Your Privacy Rights

Under Australian privacy law, you have significant control over your personal information. Here's what you can do and how to exercise these rights.

Access Your Data

Request a complete copy of the personal information we hold about you. We'll provide this within 30 days in a portable format.

Correct Information

Update inaccurate or incomplete data directly in your account settings or by contacting our support team.

Delete Your Account

Permanently remove your account and associated data. Some financial records may be retained for legal compliance.

Restrict Processing

Data Portability

Export your expense data in CSV or JSON format to transfer to another service.

Withdraw Consent

Opt out of optional data collection or marketing communications at any time.

6 Data Retention

We keep your information only as long as necessary for providing services or meeting legal obligations.

Active Accounts

While your account remains active, we retain all transaction data and personal information to provide continuous service. You can delete specific transactions or expense categories anytime.

Deleted Accounts

When you delete your account, most data is removed within 30 days. However, Australian tax and financial regulations require us to retain certain transaction records for seven years. These retained records are securely archived and not accessible for operational purposes.

Backup Systems

Deleted data may persist in backup systems for up to 90 days before complete removal. These backups are encrypted and used only for disaster recovery.

7 Cookies and Tracking

We use cookies and similar technologies to make prevalionte work properly and understand how people use our service.

Essential Cookies

These keep you logged in and remember your preferences. Without them, basic features wouldn't function. You can't opt out of essential cookies if you want to use prevalionte.

Analytics Cookies

These help us understand which features are popular and where users encounter problems. The data is anonymized and aggregated. You can disable these through your account settings.

Managing Cookies

Your browser settings allow you to refuse cookies, though this may limit functionality. Visit your browser's help section for specific instructions on cookie management.

8 International Data Transfers

Your data is primarily stored in Australian data centers. However, some service providers operate internationally, which may involve transferring data overseas.

When transfers occur, we ensure adequate protection through:

  • Contractual agreements requiring equivalent privacy standards
  • Selecting providers in countries with strong privacy laws
  • Using encryption during transfer and storage
  • Regular audits of international partners' security practices

You can request specific information about where your data is stored by contacting our privacy team.

9 Children's Privacy

prevalionte is not intended for anyone under 18. We don't knowingly collect information from children. If you're a parent and discover your child has created an account, contact us immediately and we'll delete it.

If we learn we've inadvertently collected data from someone under 18, we'll delete that information promptly and terminate the account.

10 Changes to This Policy

We update this privacy policy occasionally to reflect service changes or legal requirements. When we make significant changes, we'll notify you via email and display a prominent notice in the app.

Continued use of prevalionte after changes indicates acceptance of the updated policy. If you disagree with changes, you can close your account before they take effect.

Previous versions of this policy are available upon request — just email our privacy team.

11 Complaints and Disputes

If you have concerns about how we handle your personal information, please contact us first. We take complaints seriously and investigate thoroughly.

Our complaint process:

  • Email help@prevalionte.com with details of your concern
  • We'll acknowledge receipt within 2 business days
  • Investigation typically completes within 30 days

If you're unsatisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner at oaic.gov.au.
